Built for UK freelancers, contractors and small limited companies, with Self Assessment and Corporation Tax estimates built in rather than bolted on. No invoice caps. If you bank with NatWest, RBS or Mettle it costs nothing, which makes it the cheapest complete option available to a UK sole trader. Less suited to inventory or to US sales tax.

Strong in Australia and NZ

Free, and no invoice limit
Full double-entry accounting that runs on Windows, macOS or Linux with your data in a file you own, and no limits on invoices, customers or transactions. For anyone leaving Xero over the invoice cap, this removes it entirely at zero cost.

Accounting inside an ERP
Accounting as one module of a much larger open-source business suite, so invoicing sits next to CRM, inventory, purchasing and manufacturing in one database. That is either exactly right or wildly too much. For a growing product business tired of stitching Xero to three other tools, it is the serious option. For a freelancer it is overkill.

The invoice cap is the real reason people leave
Xero’s US pricing, read from its own page on 14 September 2026: Early $25 a month, Growing $55, Established $90. All three usually appear alongside a six-month introductory rate, so check the renewal figure.
The number that actually bites is not the price. Early allows 20 invoices and 5 bills a month. A one-person consultancy with a dozen clients on monthly retainers hits that in the first week of the month, and the only route out is $55.
That jump, from $25 to $55 for the same work, is what sends people looking. It is worth knowing that several tools below have no invoice cap at all, including two that cost nothing.

Check your country before your features
Accounting software is more regional than almost any other category, and choosing on a feature list written for another market is the common mistake.
United Kingdom. FreeAgent is included free with eligible NatWest, RBS and Mettle business accounts, which makes it the cheapest complete option for a UK sole trader. Whatever you choose must be recognised for VAT filing. HMRC publishes the list of compatible software, and checking it takes a minute.
United States. QuickBooks has the deepest accountant network and the most integrated payroll. Sales tax across states is the thing to test.
Australia and New Zealand. MYOB handles local payroll and GST reporting natively. Xero is strong here too, being a New Zealand company originally.
Anywhere else. Manager.io and Odoo are country-agnostic because you configure the tax rules yourself. More setup, no regional lock-in.
Who is Xero’s biggest competitor?
QuickBooks, comfortably, and it is not close in the US. Globally the picture is more even: Xero leads in New Zealand and is strong in the UK and Australia, while QuickBooks dominates North America.
The honest differences, rather than the marketing ones. Xero’s bank reconciliation is better, and its unlimited-users model means adding your accountant or a bookkeeper costs nothing. QuickBooks charges by plan tier but does not cap invoices, and its US payroll is more tightly integrated.
If you run several companies, Xero charges per organisation, which gets expensive fast. That is the situation where people most often end up on QuickBooks or Odoo.
What to move, and when
Switch at the start of a financial year. Mid-year means two sets of books covering one filing period, and your accountant will bill you for reconciling them.
Export from Xero before you cancel: chart of accounts, contacts, invoices, and a trial balance as at your switch date. Xero exports these cleanly as CSV. What does not travel well is attachments, bank rules and historic reconciliations, so save PDFs of your year-end reports separately.
Carry forward opening balances rather than re-importing years of transactions. Then keep Xero live and read-only for a month, and keep the exports permanently. Your records have to outlast whichever company you are paying.

06 Which alternative is best for several companies?
Xero charges per organisation, so running three companies means three subscriptions. Odoo or Manager.io handle multiple entities without multiplying the bill, and QuickBooks Advanced consolidates better than stacking Xero plans. This is the most expensive thing to get wrong.
07 Will my accountant work with these?
Ask before you switch. QuickBooks and Sage have the widest practice adoption in the US and UK respectively, and FreeAgent is well understood by UK accountants. Manager.io and Odoo are less familiar, so factor in the time your accountant will charge for learning them.
